Three first steps

1. Assess the current state honestly

Before changing anything, you need to understand where you stand. Which processes take the most time? Where is information scattered? Where is unnecessary manual work being done?

A simple way to start is to review the tasks completed during the week and mark which ones were repetitive, took the most time, or caused errors. This gives a concrete picture of areas for improvement.

The biggest mistake in digitalization is trying to change everything at once. Successful initiatives start with one concrete area — for example, quote calculation, customer communication, or financial reporting.

When the first area is in order and the staff has adapted to the new way of working, it becomes significantly easier to expand digitalization to the next processes.

3. Measure results from the beginning

Without metrics, it is impossible to know whether the change produced real benefit. At its simplest, metrics can be: how much time the process takes now vs. before, how many errors occur, how quickly the customer receives a response.

Metrics don't require complex analytics tools — a spreadsheet works perfectly at the start. The most important thing is that the impact of the change is documented.

Most common pitfalls

  • Starting too big. A large system project that takes months and requires the entire organization's commitment is a risk. Start small, prove the value, and expand.
  • Forgetting the staff. New tools are useless if they are not used. Staff training and change management are at least as important as technology selection.
  • Leading with technology. Digitalization should start from business needs, not the latest technology trend. A good solution solves a real problem — it is not necessarily the newest or most impressive.
  • Forgetting continuous improvement. Digitalization is not a project that ends at deployment. The operating environment changes, needs evolve, and systems must be maintained. A culture of continuous improvement is more important than any single technology choice.
